Introduction

This Privacy Policy describes how WagBot ("WagBot," "we," "us," or "our"), a hosted website platform operated by Silver Arrow Web LLC, collects, uses, stores, and discloses personal data when you use our service. It also explains your rights with respect to that data.

WagBot lets you customize and manage a website by sending messages to a chat bot, currently operated through Discord. Because the way the platform works involves transmitting your messages to third-party AI services for command interpretation, we want to be especially clear about what we do with your data and what those third parties do with it.

WagBot is not intended for users under the age of 18, and we do not knowingly collect personal data from anyone under 18.

1. What Data We Collect

We collect the following categories of data:

We do not collect or store payment card details directly. We never see or store your full credit card number. Stripe collects and processes all payment information on our behalf. From Stripe, we receive and store:

Website content (created by you via the bot)

Your WagBot site is publicly accessible. Any content you publish to it is visible to anyone on the internet. Please do not publish anything you would not want the world to see.

Message data (transmitted to AI providers)

We do not transmit image data or descriptions of attached images to AI providers.

Treat any message you send to the bot as effectively public. It is transmitted to third-party AI providers for command interpretation, and the resulting content is published to your public site.

Important note on AI providers

When you send messages to the WagBot chat bot, the text content of those messages is transmitted to our AI providers so they can interpret your requests. We do not control how AI providers handle this data beyond their published terms and API policies. Do not send sensitive personal information (such as passwords, financial details, or health information) to the bot.

6. Data Storage & Security

Your data is stored on hosting infrastructure provided by Akamai, located in the United States.

We take the following measures to protect your data:

No system can be guaranteed to be 100% secure. While we work to protect your data, we cannot guarantee absolute security. In the event of a data breach affecting your personal information, we will notify affected users promptly and in accordance with applicable law (including, where applicable, GDPR's 72-hour notification requirement to supervisory authorities).

We retain data only as long as needed for the purposes described in this policy, or as required by law.

Active accounts

Data is retained for as long as the account is active.

Cancelled accounts

Beta accounts

Beta account data may be deleted at any time without notice. We make no guarantee of retention for beta accounts.

Server and access logs

Retained for 90 days, then automatically purged.

Rate-limit logs (including IP addresses used for rate limiting)

Retained for 2 hours, then automatically purged.

Contact form submissions on customer sites

Stored indefinitely until the customer deletes them or cancels their account. Subject to the customer's own privacy obligations (see Section 13).

Payment records

Stripe retains transaction records in accordance with its own retention policy. We retain Stripe customer and subscription IDs for as long as necessary for billing, accounting, and dispute resolution.

WagBot uses the following cookies and tracking technologies:

Session cookies (strictly necessary)

We use a session cookie (e.g., PHPSESSID) to keep you logged in to the dashboard. This cookie is cleared when you log out or when your browser session ends.

Google Analytics cookies

We use Google Analytics, which sets cookies to measure site usage. These cookies collect information such as page views, session duration, referring URL, and general device and browser information. IP addresses sent to Google Analytics are typically truncated.

Advertising cookies

We do not use advertising cookies. We do not run ads on the WagBot site.

Cookie consent

Where required by applicable law (including GDPR and ePrivacy rules), we will request your consent before setting non-essential cookies, including Google Analytics cookies.

9. Your Rights

Depending on where you live, you may have specific rights regarding your personal data. We extend the following rights to all users regardless of location.

Right to access

You can request a copy of the personal data we hold about you. Email privacy@wagbot.dev. We will respond within 30 days.

Right to rectification

You can correct inaccurate data. Most account data can be updated directly through the chat bot or your account; for anything else, contact privacy@wagbot.dev.

Right to erasure ("right to be forgotten")

You can request deletion of your data, either by cancelling your account (which triggers immediate deletion of site content and deletion of the account record after the retention period described in Section 7) or by emailing privacy@wagbot.dev. Some data may be retained where required for legal, billing, or fraud-prevention reasons.

Right to data portability

You can request your data in a machine-readable format. A self-service data export feature is not yet available. In the meantime, email privacy@wagbot.dev to request your data, and we will provide it within 30 days.

Right to object / restrict processing

You can object to certain types of processing. Note that some processing is necessary for the service to function — objecting to it effectively means cancelling your account.

Right to withdraw consent

Where processing is based on consent, you can withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

Rights for California residents (CCPA)

If you are a California resident, you have the following additional rights under the California Consumer Privacy Act:

Rights for EU/EEA and UK residents (GDPR)

If you are located in the EU/EEA or the UK, you have the rights set out above and also the right to lodge a complaint with your national data protection supervisory authority if you believe your rights have been violated. A list of EU supervisory authorities is available at edpb.europa.eu. UK residents may contact the Information Commissioner's Office at ico.org.uk.

10. Children's Privacy

WagBot is intended only for users 18 years of age or older. We do not knowingly collect personal data from anyone under 18.

If we discover that an account has been created by someone under 18, we will close the account and delete the associated data promptly. If you are a parent or guardian and believe your child has created an account, please contact privacy@wagbot.dev and we will delete the account and associated data.

11. International Data Transfers

WagBot's servers and most of our third-party service providers are located in the United States. If you are located outside the United States — including in the EU/EEA or the UK — your personal data will be transferred to, stored in, and processed in the United States.

Where required by applicable law, we rely on appropriate safeguards for these transfers, including:

Third-party providers that may process data of EU/EEA and UK users include Stripe, Discord, Resend, Google (Gemini and Analytics), Let's Encrypt, and Akamai. Each maintains its own transfer safeguards as described in its respective privacy policy.

12. Discord User IDs

Your Discord User ID is stored solely for the purpose of authenticating messages you send to our chat bot and linking your Discord identity to your WagBot account. We do not use Discord User IDs for tracking, profiling, or any purpose other than authentication and bot communication.

13. Contact Form Submissions on Customer Sites

This section is important and unique to how WagBot works.

When a visitor submits a contact form on a WagBot-hosted site, the submission (which may include the visitor's name, email address, and message) is stored in the site owner's database on our servers.

If you are a visitor to a WagBot-hosted site and have questions about how your contact form submission is used, please contact the owner of that site directly. We can only address questions about WagBot's role as the technical processor.

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this policy. For material changes, we will provide notice by email to the address associated with your account.

Your continued use of the service after the effective date of any update constitutes your acceptance of the revised policy.
